Privacy Policy
Proposed draft. Effective date: pending legal approval.
1. Scope
This proposed notice covers website visitors, school licensing contacts, and future authorized school users. Separate school agreements may govern student information.
2. Information collected
Depending on deployed features, information may include school names, contact names, work email addresses, inquiry content, account and transaction records, IP addresses, browser details and security logs. Student recordings and permission records would only be accepted through a separately activated secure school workflow.
3. Purposes
Information may be used to answer inquiries, administer school licenses, provide authorized content, maintain security, process transactions and handle permitted submissions. Optional marketing requires appropriate notice and choices.
4. Children and school records
The public website is not intended to solicit information directly from children. Before student information is accepted, the school and Flying House Games must determine applicable FERPA, COPPA, state privacy law and school contract requirements. A talent release alone does not satisfy every privacy obligation.
5. Video submissions and wristbands
Schools must retain appropriate signed permissions for all identifiable participants. Red, missing or obscured wristbands cause rejection. Wristbands do not replace consent records. Secure uploading is disabled in this preview.
6. Service providers
Hosting, payments, authentication, storage, email and security providers may process information when these services are activated. Actual providers and disclosures must be confirmed in the final policy.
7. Security
Planned protections include encrypted connections, access controls, restricted video storage, and appropriate incident response. Specific controls must be tested before collecting student media.
8. Retention and deletion
Final retention schedules must be defined for inquiries, accounts, transactions, permissions and student recordings, including school-directed deletion and applicable legal exceptions.
9. Cookies and analytics
The final policy will describe cookies, analytics and tracking actually used on the deployed website, along with any required consent choices.
10. Privacy rights and contact
The final notice must identify the legal entity, verified privacy contact, mailing address, and procedures for access, correction, deletion and other applicable rights. Do not send student records by email.
11. Policy changes
The approved published notice will display an effective date and explain how material changes are communicated.
Proposed submission and achievement data practices (draft)
The planned secure portal would receive authorized school reports and competition videos for internal verification. School representatives must certify necessary participant permissions, including approved wristbands for every identifiable participant. Media retention, access, deletion requests, account audit logs and child privacy safeguards must be finalized before real submissions are enabled. The dashboard prototype collects no submissions.
